AI chatbots and assistants for business websites

A good AI chatbot for a business website answers questions from your own approved information, hands the conversation to a person when it should, never commits to prices or refunds on its own, records every conversation and tells visitors they are talking to AI. We set up assistants that work this way and review ones that are already live.

What a good website assistant does

It answers from your sources. The assistant should draw on your own pages, price lists and policies, not on whatever a general AI model happens to believe. If the answer is not in your material, it says so and offers to put the visitor in touch.

It hands over to a person. Complaints, unusual requests, anything sensitive and anyone who asks for a human should reach a named person or team quickly, with the conversation so far attached.

It does not make commitments. Prices, discounts, refunds, bookings outside the rules and anything contractual are confirmed by a person. The assistant can explain your published policy; it cannot invent a new one.

It keeps a record and says what it is. Every conversation is stored so you can check what was said, and visitors are told plainly that they are talking to an AI assistant.

Where website chatbots go wrong

The public failures follow a pattern: an assistant states a policy that does not exist, agrees to a price or refund nobody approved, or carries on when it should have handed over. In each case the business is held to what its assistant said. We wrote up several real cases and what would have prevented them.

When customer-facing AI goes wrong

For dental and aesthetics practices

If you run a UK dental or aesthetics practice, our product ReplyOS already does this job. It answers and follows up enquiries across channels, hands over to your team and works within guardrails. It is live and has its own site.

Common questions

Can an AI chatbot answer only from our own information?

Yes, and it should. We set the assistant up to answer from your approved pages, documents and policies, and to say it does not know when the answer is not there, rather than guessing.

What happens when a customer wants to speak to a person?

The assistant hands the conversation to a named person or team with the history attached. We agree the handover rules with you before launch, including what counts as sensitive and when it must stop and pass on.

Can the chatbot agree prices, discounts or refunds?

Not on its own. It can explain your published prices and policies, but any commitment is confirmed by a person. This is one of the most common ways website chatbots cause problems for the businesses that run them.

Do visitors need to be told they are talking to AI?

We label every assistant we build as AI. It is honest, it sets the right expectations and it avoids the problems that come from people thinking they were promised something by a member of staff.

How much does a website AI assistant cost?

Enquiry recovery setup is £1,500 fixed for one enquiry journey across up to two channels. Broader assistant or workflow builds start from £2,500. A one-day AI Control Review of an existing assistant is £2,000. Third-party licences and usage costs are separate.

We already have a chatbot. Can you check it?

Yes. The AI Control Review is one day spent testing what your assistant can say and do, where it should hand over and what records it keeps, ending in written findings and prioritised changes.
